Gathering Custom Employee Data


In addition to the predefined types of information that may be stored in each employee file, Wage Easy Payroll allows for the gathering and storage of other relevant employee information. The four main systems for gathering custom information are: free-form notes, linkage of external documents to an employee file, storage of scanned images of documents, and creation of user defined fields. These features make Wage Easy Payroll the most complete and flexible human resource management and payroll package on the market.

Note Pads
Free-form note pads are available throughout the Wage Easy Payroll program in places where users may wish to keep information about employees or services and so on. These include Next of Kin, Superannuation Funds, Banks, Unions, and Employer Associations. These are often useful for recording details of communications or preferences or agreements.

Each employee has a note pad into which additional ‘pages’ can be inserted and labelled, thus allowing logical collation of notes. Therefore it is possible to track such things as promotions, review outcomes, disciplinary action, health and safety activities and so on. Line managers can have access to this portion of an employee file to make and review notes.

The note pad editor is a small but powerful word processor with many of the standard features we have come to expect today. Features include multiple font styles, colours and sizes, paragraph formatting, find and replace routines, cut and paste, insertion of embedded objects (OLE), and insertion of annotation showing time and user name.
The note pad is very easy to use and has the same intuitive operation as used in the commercial word processing packages. All notes can be viewed on-screen or printed to paper.

Linked Documents
Externally created documents can be linked to individual employee files. This is a powerful means of tracking written communications such as letters of promotion, performance reviews, formal notices and so on. This facility is not limited to documents, and in fact allows linkage of any file in the system. Once linked, the document can be launched directly from the employee file to allow immediate viewing or editing.

Scanned Images
When documents do not exist in electronic form, they can not be linked to the employee file. However, Wage Easy Payroll can store one or more scanned images in any employee file, thus effectively allowing collation of any form of employee related document. This facility is often used to hold copies of certificates, licences, letters or reports. Scanned images can be viewed on-screen or printed to paper.

User Defined Fields
One of the most powerful human resource features in Wage Easy Payroll is the ability for the user to create custom fields to track employee information. For example, an airline company may wish to be able to record the pilot licence number and licence expiry date for all of its employees. Although this information can be included in notes, if the information is required for a number of employees in the company, it is worth creating user defined fields to track the information. The user defined fields will then appear in every employee file.

Creating a user defined field is very simple in Wage Easy Payroll. Many types of fields can be nominated to include information based on Text (small amounts of writing), Memo (large amounts of writing), Currency, Date/Time, Numbers, and Yes/No. A descriptive field label can be entered and, where applicable, the size of the field can be specified.

The number of user defined fields that may be created is limited only by the ability of the computer system to store data. In practical terms, there are no restrictions to the number of fields. Information from user defined fields may be included in reports.
