Allowances & Deductions


Wage Easy Payroll makes it really easy to pay standing allowances and make standing deductions from an employee’s pay. Once set up in the company file, any addition or deduction can be linked to an employee file and then becomes a predefined allowance for calculation in every pay slip. However, the operator always retains the option to change them at the pay slip production stage. There is no limit to the number of additions or deductions that can be made. In Wage Easy Payroll, additions and deductions are all treated under the heading of allowances.

Although allowances are often stipulated in industrial awards and agreements, the allowance records are kept in their own area of Wage Easy Payroll. This promotes easy maintenance as they can all be found in the same place. For companies that belong to an appropriate employer association, the required allowance records may be downloaded alongside the award records, via the internet. Wage Easy Payroll can then automatically maintain the allowance records and ensure that the correct allowances are in use. Allowance records can also be configured manually.

In addition to the automatic calculation of allowances, the predefined allowances can be manually adjusted at the pay slip preparation stage. It is also possible to apply a once-off, undefined allowance, at this stage. The Wage Easy Payroll allowance system is therefore very adaptable and can also be used to cater for many unusual occurrences where money needs to be added or deducted from an employee’s pay.

The Wage Easy Payroll system can cater for the full range of complex allowance calculation methods. The program includes options for setting up each allowance as to whether it is to:
  • be paid on the basis of each hour, day, or pay period, or as a percentage of the pay
  • have a minimum or maximum payment
  • be included for the purposes of superannuation and taxation
  • be paid on public holidays, RDO’s, Saturday, Sunday or overtime
  • accrued in a general ledger account.

A full range of reports is available in the allowance area, including company wide summary reports, and reports by allowance type, department, individual employee or general ledger account. Allowances paid to individuals can also be directly monitored in their employee file.

One or more predefined deductions can be also be set up specifically for union or other employee association payments. Once the union records are defined in the company file, an employee may be linked to one or more unions, thus allowing automatic deduction of union fees. Contribution reports can be generated, and in future, it may be possible to make payments directly to the unions via the internet.
